Developing a SimpliVi Conference
The SimpliVi Conference on 17 and 18 September 2025 in Wrocław, Poland, is the result of a long line of thought. Read below why we chose to hold a conference on the project topic and what's our approach for the conference programme.

Three reasons for a conference

1. The SimpliVi project processes a lot of input from study visits, online interviews and desk research. The main output is then consolidated into few Deliverables. While being convinced that the output will help national and European policy makers, administrators and practitioners to improve and simplify the handling of judicial cross-border videoconferences it still needs some activities to make the output known to the different target groups. As a European project, SimpliVi can only recommend to follow the advice provided in the output. For a communication activity, such as videoconferencing, it is particularly crucial that both communication partners apply recommendations similarly. 

Therefore, it is crucial to promote the SimpliVi results to as many relevant videoconferencing experts as possible. 

 

2. SimpliVi does not want to provide a mere presentation of its results, though. The process, which the SimpliVi partners went through during the project lifetime, was far too interesting to not share those insights with videoconferencing experts. 

Therefore, SimpliVi invites Member States and European organisations to share their approaches to the topic of judicial cross-border videoconferencing during the conference.

 

3. Furthermore, the lack of communication before a videoconference - in particular the lacking knowledge who to contact in another country - shows that there is a need to connect videoconferencing experts in all countries and organisations. 

Therefore, the conference intends to create a community of European videoconferencing experts by bringing them together in the SimpliVi Conference.

The agenda reflects the SimpliVi work approach

From the beginning of the project it was clear that there are many impediments for judicial cross-border videoconferences. SimpliVi therefore broke it down to the categories of legal, organisational and technical aspects. During the work on the topic it became clear that many issues with videoconferencing are the same, no matter if it was a national or a cross-border videoconference. However, cross-border videoconferences seem to have additional issues to deal with. Only after breaking down the vast input during the analysis phase into those categories, it was possible to gain a structured picture of the different issues. The conference agenda reflects this approach:


Day 1


First, a short SimpliVi introduction will make all participants acquainted with the project, its goals and work approach. 

The first regular session 1 will set the scene and explain the legal basis for cross-border videoconferences and the academic view on the topic.

Session 2 will then discuss whether national legal systems are already in the position to provide a proper legal basis for videoconferencing. Member State representatives will present their national view on this and discuss in the panel whether further actions are necessary from a legal perspective.

The afternoon of the first day will focus on organisational and technical aspects. First, session 3 will again focus on the national perspective where Member States will share their state of play regarding judicial videoconferencing, which challenges they faced and how they solved them.

The following session 4 shifts the perspective to international aspects and how we can master judicial cross-border videoconferencing.

This will conclude day 1 of the conference.


Day 2


Day 2 focusses on the SimpliVi outcome, of which many videoconferencing experts were long waiting for. At first the SimpliVi Recommendations & Best Practises will be shared with the audience in detail in session 5. The session will also give the possibility to discuss the findings with the authors.

The final session 6 will bring e-CODEX on the table. As most European judicial communication has to or will be soon done electronically via e-CODEX, the communication about a judicial videoconference should also be done this way. The SimpliVi project developed approaches how e-CODEX could integrate the communication about videoconferences into existing use cases.

 

Several spacious coffee and lunch breaks will provide the opportunity to bring the community even closer together and continue the discussion in a more relaxed atmosphere.

Besides the SimpliVi conference, the lovely city of Wrocław itself is another excellent reason to pack your bags, register for the conference and travel there for interesting insights on the topic of judicial cross-border videoconferencing combined with views on a city rich in tradition. Our sixth study visit brought us there and we could not resist to once more enjoy the Polish hospitality.
